Freelance Studio & Marketing Coordinator (Prints)
CIRCA is a new digital arts platform, launched in October 2020 on the Piccadilly Lights. We commission one artist per month to take-over the lights every day at 20:21 with a new, original commissioned work responding to the world today, circa 2021. We have commissioned a diverse range of artists including Ai Weiwei, Cauleen Smith, Eddie Peake and Patti Smith who have supported our commitment to presenting art for free in the public space.
As part of CIRCA’s commitment to the creative community, we produce a time-exclusive print available only for the month each artist is on screen. Designed to circulate money back into the emerging arts, affordable prints are sold on the shop.circa.art website, the proceeds of which are then distributed as part of the #CIRCAECONOMY.
CIRCA requires a Studio & Print Editions Manager to ensure the day to day running of the studio and the #CIRCAECONOMY. We will need this person to manage the entire #CIRCAECONOMY process, from planning and development to the sale and distribution of the print, as well as providing additional support for the Studio.
As a start-up, we are looking for a team member who has initiative and is resourceful, adaptable, self-sufficient and who can work both independently and collaboratively as required. Excellent communication and administrative abilities are a must. A deadline-focused mindset in a fast-paced creative team environment is required.
Your main responsibilities will include:
Upkeep and filing of Studio working documents and platforms (GDrive etc) as instructed by the Project Director. Selection, set up and upkeep of internal collaborative platform (Trello, Asana etc).
Organisation of Studio expenses, receipts and coordination with Studio accountant.
Ensuring Studio is equipped with relevant materials and stationary as required.
Responding to firstname.lastname@example.org enquiries and coordinating responses.
Coordinating the CIRCA newsletters.
There may be additional responsibilities or tasks as and help further support the Studio and wider CIRCA team when needed, especially during each month’s project launch.
Coordination between the artist and Coriander Studios – our print supplier – to agree the month’s print specifications including dimensions, materials, cost and price.
To write up the print specifications per month and publish, along with the print artwork, to circa.art on the 1st of every month.
To coordinate with our suppliers on packaging materials, process and procedures and managing production costs.
To coordinate the production of the print with Coriander studios including organising any proof copies and archive copies for the artist and Studio’Connor.
Monitoring and responding to customer queries on the prints, advising on any questions and responding in a timely and professional manner. Once live, monitor all sales of the prints via circa.art and circa’s Shopify account. Keep track of sales and reconcile production expenses.
Estimating, detailing and handling shipping costs both nationally and internationally.
Coordinating all packaging efforts ready for shipment including assembling support team. Monitoring stock levels of prints.
Skills and Experience
Excellent communication skills, and the ability to form and maintain successful relationships with multiple stakeholders.
Project management skills, with the ability to complete multiple tasks concurrently and deliver.
Impeccable organisation skills and great attention to detail.
Ability to push for the best at all times and a desire to challenge and be challenged. Proactive, collaborative and resilient attitude.
Proficiency in Shopify or equivalent e-commerce platform, MailChimp, Google Business Suite, and Facebook for business and Trello / Asana or equivalent. An interest in and experience of art prints will be very beneficial to this role.
