Development and Communications Coordinator

Salary £25,000 - £27,000 FTE

Main Duties

Thanks to a substantial 5-year grant from the Vinehill Trust, we are expanding Gabrieli’s small team to increase capacity to expand our charitable work over the coming years. This is a new role that will support the Development Director to care for Gabrieli’s supporters, communicate our work to new and existing audiences, and grow our income; enabling us to do more charitable work. There will be scope and flexibility within the role for the successful candidate to develop their skills, according to interest and need.

The post-holder’s main duties will include:

Caring for and growing our community of individual supporters

  • Day-to-day communications with individual donors;
  • Reconnecting with lapsed donors;
  • Tracking and reporting on donations using our database (currently Salesforce);
  • Coordinating invitations, responses and ticket allocations for upcoming development events;
  • Coordinating refreshments and other arrangements for these events; and
  • Being present at development events (approx. 6 per year) to manage the guest list and meet supporters

Communicating our work and impact via digital and physical media channels

  • Delivering a digital campaign (including social media channels and Mailchimp newsletters) to attract concert audiences, increase donations, and increase stakeholder awareness our of our work and impact;
  • With full support of and in collaboration the line manager, create communication strategies, messaging and design that align with Gabrieli’s brand and values & appeal to a wide range of stakeholder groups; and
  • Collecting case studies from current and former Roar participants and partners.

Creating a great audience experience

Box office administration

  • Setting up and managing online box offices for our own-promotion events;
  • Liaising with venue Box Offices and Front of House teams to coordinate ticket and programme sales;
  • Handling ticket enquiries via email and phone, ensuring an efficient experience for audiences;
  • Liaising with our education partners to create ticket codes for partners and families;
  • Sensitively handling access requirements;
  • Collaborating with Box Office and Front of House teams to handle ticket enquiries, last-minute purchases and complimentary ticket allowances;
  • Following concert/tour conclusion, administrating final reports and data management; and
  • Managing ticket and programme sales at concerts, including coordinating volunteers and assistants.

General

  • A willingness to get stuck in a help our small team as needed, to deliver performances and projects: from stage set-up to governance documents; and
  • Managing data with care and accuracy, compliant with our GDPR policy;

Skills and Experience Required

We hope to recruit someone with:

  • A friendly, open manner, comfortable dealing with strangers and proactively contributing to team discussions and activity;
  • Excellent administrative and organisational skills;
  • Excellent literacy and numeracy skills;
  • An eye for basic graphic design;
  • A strong aptitude for working with different IT programmes, including Microsoft Office products, databases, online graphic design platforms (such as Canva), and ticketing platforms –  though training in specific pieces of software will be provided as required;
  • An adaptable working approach, with the ability to self-motivate as well as working as part of a close-knit team; and
  • Passion for the live music industry and/or participatory arts.
