Entry-Level Operations & Admin Assistant

Main Duties

To support the day-to-day execution of operations across The Footsoldiers and Treed Equipment. This is an entry-level role with hands-on training and close collaboration with the Senior Operations Manager.

Responsibilities

Office & Administrative Support

  • Support general office administration and day-to-day tasks.
  • Assist with organising meetings, including room setup and logistics.
  • Support the team with meeting coordination when required.
  • Maintain organised and up-to-date internal documents and records.
  • Maintain a tidy, organised, and welcoming office environment.
  • Greet guests with refreshments when visitors are in the office.

Office Supplies & Inventory

  • Monitor and maintain office supplies.
  • Track inventory levels and notify the Senior Operations Manager when supplies need replenishing.
  • Assist with ordering office supplies when approved.

Bookkeeping & Finance Support (Training-Based)

  • Learn and support bookkeeping processes for both The Footsoldiers and Treed Equipment, starting with close supervision.
  • Assist with transaction reconciliation initially, progressing towards independently reconciling transactions over time.
  • Chase team members for receipts to ensure all transactions are reconciled.
  • Support the monthly close process, ensuring transactions are reconciled by the 10th of each month.
  • Assist with chasing outstanding invoices using approved templates (not issuing invoices).
  • Work accurately and consistently to support monthly financial processes and reporting timelines.

Logistics & Amazon Operations Support

  • Assist with organising and packing boxes for Amazon Seller Central orders.
  • Learn how to use Amazon Seller Central to prepare shipments and generate product and shipping labels.

 Social Media & Customer Support Coordination

  • Manage the social media post cadence and calendar by staying aware of key golf events and coordinating scheduled posts (content creation is handled separately).
  • Monitor comments, messages, and customer enquiries across all social platforms, responding promptly and escalating when needed to ensure excellent customer service.
  • Support influencer outreach by coordinating product samples to golfers and creators with relevant followings, helping build brand awareness and conversions.

Ad-Hoc & Cross-Business Support

  • Support ad-hoc research, operational tasks, or commercial support activities as directed by the Senior Operations Manager.
  • Assist with general operational follow-ups and coordination across both companies.

We are looking for someone who is highly organised, proactive, and comfortable working across a variety of tasks throughout the day. The ideal candidate will enjoy supporting different areas of the business and take pride in keeping operations running smoothly.

The ideal candidate will:

  • Hold a university degree (preferred), ideally in a business, operations, management, fashion business, or a related field.
  • Have some exposure to business fundamentals such as basic finance, budgeting, reporting, either through education or early work experience. (We work with Xero)
  • Be highly organised, with the ability to manage a varied workload and keep track of multiple tasks and follow-ups.
  • Be proactive and solutions-focused, able to spot issues, take initiative, and ask questions when unsure.
  • Have strong attention to detail, when handling financial data, documentation, and administrative tasks.
  • Be discreet and professional when handling confidential or sensitive information.
  • Be open to learning and developing new skills over time, with the potential to support additional areas of the business as the role grows.

Some experience in an office, administrative, operations, or business support role (including internships, placements, or part-time work) is preferred.
