Main Duties
Your responsibilities will include:
• Reception duties at TU London to greet students, staff and visitors ensure excellent customer service across the campus community.
• Provide co-ordination and administration of the operational functions of the TU London including support for staff and students, financial monitoring, maintenance of records and responding to queries both face to face, on the phone and by e-mail.
• Work with the Operations Manager to ensure a seamless service across TU London during events and conferences including ordering catering, ensuring spaces are clean and tidy and physical set up in place.
• Practical support to essential campus operations including health & safety, staff and student induction activity.
• Communicate effectively with staff and students to enable clear understanding of TU London administrative processes and procedures and to receive/action feedback to improve practices whilst maintaining consistency and standardisation.
• Responsible for the maintenance and accuracy of TU London online and hardcopy documentation.
• Collaborate with key staff to coordinate, and implement, attendance and engagement policies and procedures.
• Liaise with academic staff, support staff and students to enable effective and efficient administration of TU London processes and procedures.
• Deliver first line IT and digital support to staff and students signposting to external support where appropriate.
• Provide advice, guidance and signposting to students with respect to academic and pastoral issues, liaising with TU London and University professional support services where necessary.
• Provision of personal assistant support to the TU London Senior Management Team including diary management, administration and minute taking.
• Oversee the administration of assessment processes and ensure compliance with TU London regulations and procedures, providing advice on the assessment process to students and staff.
• Assist with the monitoring and review of TU London information including a range of documentation, ensuring they encompass key requirements and information to support TU London objectives.
• Co-ordinate and process the collection of data and information to support monitoring, performance, enhancement, progression and other activities.
• Embrace the digital first approach on campus by utilising a range of tools including Microsoft Office software and a range of University systems, to enhance administrative processes.
• Work collaboratively and flexibly across all areas of TU London, including working across other areas to support key areas of work when required.
Skills and Experience Required
• Strong customer service skills with a flexible approach and willingness to contribute to the wider University and work across all areas of TU London
• Attention to detail and enthusiasm to develop own knowledge
• Demonstrable understanding and knowledge of administrative work Essential Skills and Expertise
• Highly developed oral and written communication skills, with ability to communicate information clearly and succinctly to a range of audiences
• Excellent digital skills including Microsoft office programmes
• Flexible approach to working to ensure a range of administration can be provided across the University
• Problem solving skills to find the best solutions for students and staff
• Experience of higher education either as a graduate or be able to demonstrate transferable skills from a similar sector.
